How to export PayPal statements (web & mobile)

Exporting a clean CSV from PayPal gives the best results. Here’s how to do it on the web and in the app.

Web (paypal.com)

  1. Sign in → Activity.
  2. Select Statements or Download → choose the account and Custom date range (e.g., Last 12 months).
  3. Format: CSV. Click Download and save the file.
  4. Return here and upload it to the analyzer.

App (iOS/Android)

  1. Open the app → Activity → filters.
  2. Select your range and export option (CSV or PDF, if available).
  3. Share/save the file to your device and upload here.

PayPal provides different export layouts by region and account type. This tool detects common columns automatically and lets you export a standardized CSV.

What the analyzer detects automatically

This tool standardizes your PayPal statement into consistent columns, then computes core insights for quick review.

  • Transactions normalized: Date, Description, Type, Gross, Fee, Net, Currency.
  • In vs Out: sums gross in/out and fees, plus a Net Cashflow figure.
  • Categories: smart rules based on Type/Description (e.g., “Payment Received,” “Purchase,” “Transfer,” “Refund,” “Subscription,” “Chargeback”).
  • Recurring charges: detects monthly patterns for subscriptions; surface merchants with consistent billing intervals.
  • Fees finder: highlights PayPal fees across the range and totals them separately.

PayPal CSV mapping (columns & formats)

Most PayPal CSV exports include some of the following columns. The analyzer looks for these names and falls back to best-guess matching when columns vary.

PayPal column (example)Mapped to
Date, Time, Time ZoneDate (combined to ISO)
Name / From / ToDescription (merchant/payee)
TypeType (Purchase, Payment Received, Transfer, Refund…)
StatusIgnored for totals; shown in table
GrossGross amount (+ in, − out)
FeeFee (negative number)
NetNet (Gross + Fee)
CurrencyCurrency code (USD, GBP, EUR…)
Transaction IDKept as reference if present
Known quirks & fixes
  • CSV sometimes has separate Date & Time columns. We merge them to ISO.
  • Gross/Fee/Net can be negative. We respect signs for totals.
  • PDF exports vary widely; only text-based PDFs (not image scans) parse well.
  • OFX/QFX fields are normalized where present (date, amount, memo).

Insights you will see

Once your file is parsed, you’ll see totals and a standardized table you can filter or export. Typical takeaways:

  • Top categories and biggest merchants by spend
  • Recurring subscriptions and renewal cadence
  • Refunds vs purchases to spot dispute/return patterns
  • Fees paid to PayPal over the period
  • Monthly cashflow trend to see inflows/outflows at a glance

Privacy & security

Your file never leaves your device. Parsing and analysis happen entirely in your browser using the FileReader API. Use the Delete data button to clear all data from memory instantly. For more details, see our Privacy Policy.

Common use cases

  • Budgeting: unify PayPal activity with bank/credit card data for a complete monthly view.
  • Taxes: export clean CSV for bookkeeping or your accountant.
  • Expense claims: identify reimbursable purchases with receipts linked in the Description field.
  • Audit readiness: preserve a normalized export with consistent columns.

PayPal analyzer — FAQs

Do you store my PayPal statement?

No. The analyzer runs locally in your browser. Nothing is uploaded to our servers.

Which file format is best?

CSV is best. PDF can work if it contains selectable text (not an image scan). OFX/QFX are supported for basic fields.

Can I edit categories?

Yes. Categories are rule-based; you can override them in the table before exporting.

How do refunds and chargebacks appear?

They typically appear as positive Net amounts. The table shows the original Type with signs respected for totals.

What about multiple currencies?

We preserve the currency column. If your export includes mixed currencies, totals are computed per currency in this version.

Will this work for business accounts?

Yes—most business CSVs work. If your header names differ, the analyzer attempts smart mapping; otherwise you can remap fields before export.
